Billing Assistant, Ship Agency Services : 


Responsibility:

•   Coordinate with suppliers and concerned GAC staff to collect invoices accurately and on time.
•   Register, allocate and update job details and expenses in our in-house system.
•   Coordinate with concerned GAC staff for invoices checking, approval and payment.
•   Prepare summary of vessel expenses and Final Disbursement Account (FD/A).
•   Prepare draft and final B/Ls issuing.
•   Responsible and coordinate with internal department and other departments for administrative and Quality Management Systems (QMS) works of Shipping Department.

Qualifications:

•   Bachelor’s Degree or Commercial College in Accounting or other related fields.
•   Male or Female, age between 22-25 years old.
•   0-2 years of work experience in billing documentation or administrative works. New Graduates are welcome.
•   Proactive, willing to learn and positive teamwork attitude.
•   Good command of English and Ms Office Word and Excel.

OPERATIONS MANAGER, SHIP AGENCY SERVICES


Responsibilities : 
   In charge of all operational matters involving Tankers, dry cargo, projects, etc and ensure we deliver high standards of services to customer with complying internal/external HSSE regulation.
   To manage in a high pressure and changing environment the demands from both internal and external customer with solutions services.
   To implement and ensure continual improvement of Standard Operations Procedure (SOP) for each Key Account Customer and work closely with operational colleagues and subcontractors whom are also involved with the specific Key Account Customers with GAC services satisfaction.
   By maintaining high standards of service, communication and following SOPs, maintain our commitment of service to our customers and ensure retention of business, to increase market share and improve results.
   To oversee all vessel operations (Tankers, Dry bulk, Offshore & others) to achieve department KPIs.
   To ensure all operational messages are replied within reasonable time by the operational colleague and all reporting to the customer is done in a timely and accurate fashion, meeting the set KPIs.
   Coordinating and managing communication between the customer, the contractors/supplier and GAC colleagues by optimizing terms with suppliers and get competitive quote thereby increasing the profitability and customer satisfaction.
   Ensure all HSSE, FCPA, Anti corruption and   other GAC/Customer specified rules and regulation are met within department by ensuring staff is well briefed and educated on the regulations.
   Preparing and submitting quotations to customers. And also follow up on the debtors   together with other colleagues to ensure that all quotations are correct and in the proper GAC format. In event quotation is delegated to other staff to ensure the correctness.
   To suggest and advise the effectiveness and proper mode of services to meet and exceed the customer's requirements and needs to achieve customer satisfaction and optimize the KPI under CSF1.
Requirements: 
   Thai nationality, good command of written and spoken English, experience in ship agency services
   Good interpersonal communication and problem solving skills
   Ability to work under pressure and tight dateline.
   Positive attitude with team spirit and computer literate

OPERATIONS COORDINATOR/ASSISTANT – Ship Agency Services (Tanker/Dry Bulk)

Responsibilities
   To handle all operation issues which are linked between port, vessel, owner, charterer, boarding officer, and all parties concerned for smooth and fast turn-around of vessel.
   Communicate with principal, ensure follow Instruction, voyage order, and agency appointment properly and provide all necessary information required to principal.
   Communicate with master port authorities, and parties concerned for safe and smooth operation.
   Up-date job details e.g. actual information, ATA, ATD, and etc. In GAC agent.
   Coordinate closely with boarding officer for vessel's requirement and other issue.
   Cooperate with GAC HAC singapore (HUB) for funding process and using GAC ship program
   Review all suppliers' invoices before relaying to account of payment to vendors, suppliers or ports.
   Follow up vessel's funds and freight tax.
   Ensure all details in GAC agent are up to date.
   Coordinate with terminals to provide shore pass for crews and make hotel reservation for crew and visitors.
   Coordinate with internal for all owner matters.
   Coordinate with owner/ship manager for crew matters,
   Coordinate with customs clearance subcontractor and sender for shipments "SHIP's SPARE INTRANSIT".
   Prepare summary of estimated expense for delivery of owner matters services.
   Coordinate invoicing supervisor for making final disbursement.
   Send daily updates to principals.
   Coordinate with shipper/suppliers/consignee.
   Review all suppliers/vendors tariffs/service levels.
   Carry out spot check on company vehicles
   Coordinate with customer in preparing shipping documents.
   Prepare inward and outward shipping documents such as manifest, bill of lading, shipping order, delivery order, and etc.

Requirements:
   Fresh Graduate or with works experience in ship agency services/cargo operations – Tanker/Dry bulk.
   Able to work under pressure, tight schedule and flexible working hour.
   Good command of written and spoken English and computer literate.   
   Good works attitude and team spirit.

OPERATIONS ASSISTANT/EXECUTIVE – Ship Agency Services, Dry Bulk Vessel

Responsibilities : 
   Provide overall ship agency services to customers as per ship agency appointment and instructions.
   Prepare and submit estimate expenses for Port Disbursement Account (PD/A) as per customers' inquiry.
   Provide port and operations information to customers as requirement.
   Communicate and coordinate with Ship Master, Port & Terminal authorities, Boarding officers and parties concerned for completed documentations, cargo operations, safe and smooth ship calling and operations.
   Provide update ship status and cargo movement to customers and parties concerned.
   Manage and provide related ship agency & husbandry services i.e. Crew change, Ship spare in-transit, Cash to Master (CTM), Ship supply & provision and others services as required.
   Follow up customer payment, verify suppliers invoices for closing Final Disbursement Account (FD/A) and sort out any related payment issues.
   Supervise to subordinates and coordinate with internal and external parties concerned for work guidance, smooth operations, problem solving and job closure.

Requirements: 
   Min 3 years works experience in ship agency services and cargo operations - Dry bulk vessel is preferable.
   Good knowledge and experience in HSSE compliance (Health, Safety, Security & Environment).
   Able to work under pressure, tight schedule and flexible working hour.
   Good command of written and spoken English and computer literate.   
   Good works attitude and team spirit.
